Role Profile

Reporting to: Shaylesh Patel, Founder of Healthy Planet
Location: Hammersmith, London
Hours of work: 3-5 days per/week, flexible days
Contract: 3-6 months unpaid
Start Date: ASAP

Key Responsibilities
Healthy Planet is a dynamic charity and social enterprise. The successful candidate will be part of a small but very busy and successful team, and should therefore demonstrate the capacity to multi-task and be able to work in a fast-paced environment under their own initiative as well as part of a team. It is your job to work closely with the Founder to help him juggle his workload and stay organised. No day is ever the same in the life of a PA, but your typical daily tasks will include:

• Organising and attending meetings and ensuring Founder is well-prepared
• Assisting the property and logistics teams with our Healthy Spaces initiative, liaising with landlords, agents and tenants
• Assisting with our Healthy Lifestyles initiative, liaising with the marketing team to deliver promotional materials for new events and programs
• Screening telephone calls, enquiries and requests, and handling them as appropriate
• Meeting and greeting visitors at all levels of seniority; including clients, vendors, partners, and employees
• Organising and maintaining the Founder’s diary
• Dealing with incoming email and post, often corresponding on behalf of the Founder
• Taking meeting minutes
• Carrying out research and presenting findings
• Producing documents, briefing papers, reports and presentations
• Liaising between Founder, other members of the Senior Management Team and the rest of the Healthy Planet team
• Monitor and assist with maintenance of the organisation’s website
• Perform general clerical duties to include, but not limited to, copying, mailing and filing
• Create and modify documents such as invoices, reports, memos, letters and financial statements using Microsoft Office, Access, Excel or other programs
• Keep database up-to-date
• Attend and help coordinate relevant events, workshops, etc.
